Fieldwork, Research Cruise and Excursions

UiB's Guidelines for health, safety and environment at fieldwork, research cruises and group trips apply to employees and students at UiB. The guidelines describe scope, responsibilities, and tasks in connection with HSE at field work, research cruises and group trips, both in terms of preparation, execution and follow-up work. On this page you will find all necessary information when planning a trip.

Fieldwork, research cruises and group trips must be registered in a digital travel card before departure. This digital card provides BIO with an overview of planned and ongoing trips, updated participant lists with contact and next-of-kin information, and enables communication with those who are traveling when needed. The trips' information will be available both at the unit and at faculty/university level in case of incident or emergency.

Register your trip

You may use this form (https://forms.office.com/e/CZQRxW7ZP3) to register your trip, whether you travel alone or with a group.

Register next-of-kin information and phone number

If you are a UiB employee, you must use the Self Service Portal (DFØ) to register or update your next-of-kin information. Go to the section "Employment status", click on the button "User profile", find the tab "Family/contact person" and add the contact details of any person the University should contact in case of trouble. Make sure to add or update your mobile phone number (tab "Phone number") as this number will be used for later communication via CIM.

If you are a student traveling as part of a course such as BIO325, BIO102, BIO250, etc., you will be contacted by the student affairs at BIO prior to the trip. If your trip concerns your master project or anything else than a course at BIO, you will be able to provide information about your next-of-kin in the form when registering your trip.

Checklist for fieldwork, research cruise and group travels

Seaman certificate for participants in a research cruise

Prior to embarking for a research cruise, make sure that you have the necessary paperwork in place. For instance, check with the cruise leader whether you need a seaman certificate that confirms that you are fit for working onboard a ship.

At the University of Bergen, a seaman certificate is issued by the UiB doctor free of charge. For booking an appointment, contact the Occupational Health Service bht@uib.no.
Download the form for medical examination KS-0497 and fill up the first 3 pages.

On the day of the appointment, you must:

  • present a valid identification card with a photo (passport, driver's license, national ID card, bank card with photo)
  • provide the prefilled examination form for medical examination
  • provide the previous examination form if you seek renewal of the certificate.

The medical certificate is valid for 2 years.
